Neat Smart Organization System - Use Filters to Find Items in your Database

Learn how to filter in the Neat Software. There are several ways you can filter for data in the Neat Software. View the options below to learn more about how you can use filters to find the information you are looking for. You can also use the search feature to find items in your database.

Filter by Item Type

Neat allows users to store different item types in the same folder. However, if you wish to just view all of one type of item in a folder, you can filter a folder's contents by item type to separate documents, receipts or contacts. Follow the steps below to get started.

  1. Click on the folder you want to filter.

  2. Click the Filters drop-down menu near the top right corner of the screen.

  • Choose All Items to view all item types in current folder
  • Choose Receipt to view only receipts in the current folder
  • Choose Contact to view only contacts in the current folder
  • Choose Document to view only documents in the current folder
  • Choose Invoice to view only invoices in the current folder
  • Choose Statement to view only statements in the current folder
  • Choose Bill to view only bills in the current folder
  • Choose Check to view only checks in the current folder
  • Choose Recipe to view only recipes in the current folder
  • Choose Processing to view only processing items in the current folder

Folder Shortcuts The Neat Software has folder shortcuts built in to help you get quick access to your items.

  1. At the top left of the screen you will see the available Folder Shortcuts.

  2. Choose one of the Folder Shortcuts to view the contents of that filter
  • Choose All Files to view all of the items in all of your folders across your database in one list
  • Choose Unreviewed to view all of the items in your database that you have not yet checked for accuracy
  • Choose Recently Viewed to view items you have clicked on recently

Filter Button

Use the filter button to use specific fields and values to filter the contents of the folder you are viewing.

  1. Click on the folder you want to filter.

  3. Choose one of the three main filter options:
  4. Choose All File Types if you want to filter for a specific item type such as Receipts or Contacts. If you choose a specific item type, you will be given additional filtering options. For example if you choose Receipts you will be shown options to filter on Total Amount, Receipt Date, Payment Type and Expense Category.

  5. Choose Item Status to filter for items in a specific status

    • Choose Unreviewed to view items in the folder that you have not yet checked for accuracy
    • Choose Reviewed to view items in the folder that you already verified
    • Choose Missing Information to view items in the folder that are missing key information. For example, if a receipt is missing a Vendor or Receipt Date.
    • Choose Unable To Process to view items in the folder that were unable to process
    • Choose NeatVerified to view items in the folder that you used NeatVerify credits on
    • Choose Locked to view items in the folder that you have exported to QuickBooks Online
  6. Choose Date Added to filter items by the date you added them to Neat
